Yes. Upgrades take effect immediately and you're only charged for the remaining days in your billing period. Downgrades are scheduled to take effect at the end of your current billing cycle — you keep full access until then.

Available on the Team plan, add-on packs let you go beyond the base limits without switching plans. Each Employee Pack adds 10 employee slots for $20/mo. Each Project Pack adds 10 active project slots for $30/mo. Archive completed projects to free up slots at any time — archived projects don't count against your quota.

Cancel any time through Account Settings or by emailing info@tradelicensehq.com. Cancellation takes effect at the end of your current billing period — you keep full access until then. We don't offer prorated refunds for partial months.

Any trade business that employs licensed workers or manages permitted job sites. This includes electrical, plumbing, HVAC, roofing, general contracting, carpentry, concrete & masonry, fire protection, painting, landscaping, welding, and more. If your crew holds state licenses and your projects need permits, Trade License HQ is built for you.

In the Bulk Upload section, you can drop multiple licence and permit documents (PDF, JPG, PNG) at once. Our browser-based OCR scans each file and pre-fills fields like the holder name, certification type, and expiry date. You review and edit each extracted record before submitting — nothing is saved automatically without your approval. This gets a pile of documents into the system in minutes rather than hours.

On Pro and Team plans, project managers can generate a unique 30-day upload link for a subcontractor directly from the project detail page. The subcontractor visits a public URL — no login required — and uploads their licence documents. Those documents land in your review queue for approval before entering your compliance records. Subcontractors access the upload portal for free; only the account holder needs a paid plan.

We support PDF, JPG, JPEG, and PNG files up to 16 MB per file for certification documents, permit files, and insurance certificates.

Archived projects don't count against your active project quota. They become read-only — all records, permits, insurance certificates, and compliance reports are preserved permanently for history and export. You can archive a project at any time from the project detail page.

Your data is stored in a managed PostgreSQL database. All connections are encrypted with TLS. Uploaded files are stored in isolated, user-specific directories. Passwords are hashed using industry-standard algorithms — we never store plaintext credentials. For full details, see our Privacy Policy.

Yes. We operate as a data processor on behalf of your business (the controller). Our Data Processing Agreement covers our obligations under GDPR, CCPA/CPRA, and other applicable data protection laws. For EEA/UK data transfers, we rely on Standard Contractual Clauses.

Yes. You can generate CSV exports of your company and project data at any time from within the app. After account termination, we retain your data for 30 days during which you can request a full export by emailing info@tradelicensehq.com. After that period, data is deleted per our retention policy.
